Summary

To coordinate and schedule complex long term plans of Oncology patients across several departments including Oncology, Radiation, Infusion, Laboratory, Radiology and many specialty departments at Confluence Health. This position also coordinates and schedules complex treatment plans for Oncology and Non Oncology patients who require outpatient infusion therapy at Confluence Health.  
 
Position Reports To: Practice Manager

Essential Functions

  1. Exhibits excellent customer service while being able to multi task under pressure.
  2. Directly interacts with the oncology team members as well as staff across multiple departments to coordinate the scheduling of complicated treatment plans for oncology and non oncology patients who require outpatient infusion. 
  3. Verify that insurance authorization has been obtained prior to scheduling patients for appointments.
  4. Makes, reschedules and cancels appointments, understanding the unique scheduling needs of the
  5. various providers in the department so that patient access is optimized.
  6. Consistently monitors schedules for both providers and the infusion room to ensure schedules are full and follow staffing acuity guidelines for the infusion department. 
  7. Provide feedback on workload, scheduling issues, and refinements to the management team on an ongoing basis. 
  8. Answers the telephone and checks messages in a timely manner. Returns or directs calls to the appropriate personnel by end of day.
  9. Responsible for training reception staff how to schedule non-complex appointments.
  10. Effectively communicates all schedule changes to the appropriate personnel. 
  11. Ability to maintain accuracy on a consistent basis. 
  12. Able to utilize various formats (epic, outlook, in-baskets, secure chat and teams) at the same time to look at multiple schedules, messages when scheduling patient appointments.  
  13. Checks in-basket messages throughout the day requiring scheduling attention. 
  14. Ability to respond calmly in an emergency situation and adhere to Confluence Health policy. 
  15. Other duties as assigned.

Qualifications

Required:

  • Highschool graduate or equivalent.
  • A working knowledge of computers, accurate keyboarding skills, email communication and password management.

 

Desired:

  • Previous clerical or office experience in an imaging or medical setting.
  • Familiarity with medical terminology.

  • Work is performed in the reception area. It involves continuous contact with staff and patients by phone and in-person. Interaction is constant and with many interruptions.
