About this role

Position Summary:

The Document Control Administrator is responsible for the creation, control, distribution, revision, and archival of technical and quality-related documentation. This role ensures that controlled documents—such as procedures, work instructions, drawings, specifications, and records—are accurate, traceable, and available at points of use, while obsolete documents are properly removed. The position supports compliance with internal quality systems and applicable regulatory or customer requirements.

 

Position Requirements:

  1. Administer document change requests (engineering change requests, or similar)
  2. Supports engineering and production by researching, collecting, monitoring and maintaining bills of materials (BOM's), routings, change request, customer specific requirements, various engineering standards (ASTM, ISO, SAE), and other controlled documentation.
  3. Define and track metrics related to document & task approvals within ERP system
  4. Verifies accuracy of documentation and completeness of files and resolves discrepancies.
  5. Ensures documents are retained and destroyed in accordance with internal policies and regulatory requirements.
  6. Follows processes for document approval, distribution, modification, and destruction.
  7. Will utilize an electronic document/record management system.
  8. Enters and maintains bills of material (BOM) and routings in the ERP system.
  9. Develops and delivers training programs educating staff on document control processes in the organization.
  10. Ensures that training records are appropriately maintained and entered in the ERP system.
  11. Sets up parts in the ERP system and sets up software with multiple types of formatting as directed by that specific PCN.
  12. Works with cross functional team to optimize workflow and troubleshoot issues related to document control & routing
  13. Participates in documentation projects and various support functions as required by manager and/or cross functional team
  14. Writes and formats user documentation according to approved standards.
  15. Administers non-disclosure agreements and ensures they are appropriately maintained.
  16. Sets up part information within the ERP system
  17. Implement continuous improvement projects relative to document control, workflow, ERP system, etc
  18. Serve as internal auditor, supporting quality engineering audit requirements
  19. Collaborate with quality, compliance, engineering, legal, and operations teams at multinational SSI facilities for various documentation functions
  20. When mandated, will need to be available to work overtime, be it daily extra hours or weekly with additional days added to the work week.
  21. Individuals directed by management to operate a vehicle for work purposes will observe the requirements of the Fleet Safety Program.
  22. Support, promote, and perform in a manner consistent with continuous improvement goals and the values of SSI Technologies, LLC. which includes following the policies, procedures, and requirements of our Quality Management and IS0 14001 Environmental Management Systems.
  23. All other duties as assigned by your supervisor.

 

Professional/Technical Experience, Skills and Education:

  1. Associate’s degree, preferred.
  2. Proficient in Microsoft Office, required.
  3. ERP system experience, required. (Plex preferred)
  4. Previous experience in supporting an engineering or technical department, preferred.
  5. Knowledge of configuration management or change control processes, preferred.
  6. Knowledge of ISO & IATF regulatory framework, preferred.
  7. Basic understanding of engineering drawings and documents and how to interpret them, required.
  8. Strong technical writing skills, with a focus on procedural documents, required.
  9. Two (2) years of experience to be considered, required.
